Event and organisation filming in Gebze and Kocaeli

In Gebze and Kocaeli we capture launches, trade fairs, conferences, openings, corporate meetings and award ceremonies in photos and video. We prepare the shooting plan with you around the event’s running order and deliver the versions you need, from a short edit to share right after the event to a lasting event film.

Which events do we film?

  • Product and brand launches: stage presentations, product showcases, guests and press moments
  • Trade-fair and stand shoots: the stand, product demos and conversations; a footage archive for post-fair communication
  • Congresses, seminars and panels: full recordings of talks, wide shots of the hall and interviews between sessions
  • Opening and groundbreaking ceremonies: speeches, ribbon cutting, the facility and guests
  • Corporate meetings: dealer meetings, staff get-togethers and year-end celebrations
  • Award ceremonies: stage moments, portraits of award winners and behind the scenes

The 59-second film we made for TMS Industrial Refrigeration’s New Year celebration is an example of a corporate event turned into a short, shareable film.

Pre-event planning: running order, critical moments and permits

An event happens once; a missed moment cannot be reshot. So preparation starts with sharing the event programme. The order of speeches, who will go on stage, critical moments such as awards and ribbon-cutting, and the busiest times for guest arrivals are marked in advance. Camera positions, power and cable runs and stage lighting are planned together with the organiser. Filming rules at trade fair grounds and hotel halls vary by venue, so the necessary permits are settled before the event.

Photo and video from the same team

When the photo and video teams work to the same plan, they do not get into each other’s frame at critical moments and both outputs share the same visual language. The photos are used in press releases, on the website and on LinkedIn; the video in the event film, speech recordings and short social media edits. If full recordings of the speeches are wanted, sound is taken separately from the hall’s sound system or lavalier microphones.

Same-day short edit and event film

Content posted while the event is in the news gets more attention. On request, a short edit and selected photos can be prepared for posting on social media during or at the end of the event; for this, someone to edit on site is planned alongside the film crew. The full event film is prepared in the following days, after all the footage has been reviewed. Details of editing, colour and sound are on our post-production page.

Drone filming in suitable venues

At openings, groundbreakings and outdoor events, drone footage shows the scale of the event and the venue in a single frame. Flying depends on the location’s status, the venue management’s approval and the weather, and we do not fly over crowds. In indoor halls, static and moving camera set-ups are used instead of a drone. Details are on the drone filming page.

Briefing the participants

Participants who will be filmed can be told in advance with a short note on the invitation or registration form and a notice at the venue. We recommend that this information comes from you as the organiser, and that you assess the matter under KVKK with your own legal adviser.

The event filming process: five steps

The shooting plan goes to you for approval before the event; on the day we work to the programme.

  1. First callWe discuss the type of event, date, venue and where the footage will be used.
  2. Flow and shooting planKey moments, camera positions and the division of roles within the crew are set from the programme.
  3. Venue checkPower, lighting, sound connections and filming permissions are agreed with the organisers and venue managers.
  4. Event dayThe photo and video crew works to the running order; a short edit is prepared at the venue on request.
  5. Edit and deliveryThe event film, talk recordings and selected photos are delivered according to where they’ll be used.

Frequently asked questions about event filming

Can you deliver a short video on the day of the event?

Yes, on request. An editor is scheduled to work at the venue, and the content of the short edit is decided in advance. The full event film is prepared in the following days; the delivery date is in the quote.

How large a crew does an event need?

It depends on the length of the event, the number of halls and stages, and whether both photo and video are wanted. After seeing the programme, we state the crew size and roles in the quote.

Do you record the talks in full?

If you wish, talks and panels are recorded in full. Sound is recorded separately from the hall’s sound system or a lavalier mic; recordings can be delivered edited or in full.

Can you film our trade fair stand?

Yes. Filming and equipment rules at trade fair grounds vary by organiser; access cards and permits are planned before the fair. The stand, product demonstrations and meetings are filmed for use in post-fair communication.

When are the photos delivered?

The delivery date is stated in the quote based on the size of the event and the number of photos to be selected. Earlier delivery of a few selected photos for a press release can be planned separately.

Let’s plan your event shoot together.

Share the type, date, venue and programme of the event, and we will come back with a shooting plan and a scope proposal.
